Medical Project Manager

This role serves as an extension of the Medical Director, responsible for organizing priorities, tracking multiple initiatives, and ensuring projects and communication move forward efficiently.

We are a highly specialized medical practice known for our advanced diagnostic approach and individualized treatment strategies. Patients travel from across the country--and internationally--to work with our team. Our work extends beyond patient care into research, education, and content development, requiring a team that can think critically, communicate clearly, and operate at a high level.

Position Overview

This role serves as a central coordination point for communication, research initiatives, and content development for Caring Medical Florida's Medical Director. The Medical Director Project Liaison ensures alignment, efficiency, and forward progress across multiple projects and teams. This is a non-clinical, non-managerial supervisory, in-office (Fort Myers, FL) role focuses on communication flow, project oversight, and operational coordination. The position works closely with the Medical Director while reporting to the management team.

What You'll Do

Communication Management

• Manage and respond to email correspondence on behalf of the Medical Director
• Communicate effectively with patients, team members, and external professionals
• Triage, prioritize, and route communication appropriately
• Escalate complex or sensitive situations with clear context

Team & Project Coordination

• Serve as a central point of coordination for internal team communication
• Help ensure consistency in messaging and direction across teams
• Identify inefficiencies or recurring issues and help implement solutions

Research & Content Oversight

• Serve as the primary point of contact between the Medical Director and research/content teams
• Receive, review, and triage all research-related questions prior to escalation
• Consolidate and synthesize questions to ensure efficient use of time
• Provide clarification or direction when appropriate
• Escalate complex questions with context and proposed options
• Ensure projects remain organized, prioritized, and progressing on schedule

Content & YouTube Coordination

• Coordinate with marketing and clinical teams to maintain filming schedules
• Ensure topics and messaging are clear, accurate, and aligned
• Support outlining and content review for consistency and clarity

Operational Execution

• Ensure projects and communication remain organized and moving forward
• Anticipate needs and maintain momentum across multiple priorities
• Develop and improve systems for efficiency and clarity

What We're Looking For

• Background in healthcare, research, or a clinical environment
• Strong organizational and project coordination skills
• Excellent written and verbal communication ability, with emphasis on medical terminology and professionalism
• Ability to think critically and make decisions independently
• Comfortable managing multiple priorities in a fast-paced environment
• High level of ownership and attention to detail

Preferred (Not Required, but need to learn quickly)

• Experience supporting executives, physicians, or complex projects
• Experience with research coordination, content development, or project management

Position Fit
